1. Overview

This Privacy Policy explains how SpotActor collects, uses, stores, shares, and protects personal information when you use our website and services. SpotActor helps performers publish portfolio profiles and helps casting and production professionals discover and contact them.

2. Information we collect

We collect account information such as your email address, login verification status, role, account status, and timestamps. We use email magic links for sign in, so we do not ask you to create a password.

If you are a talent user, we collect the profile information you provide, such as username, stage name, headline, biography, pronouns, gender, city, state, country, hometown, social links, date of birth, playing age range, physical attributes, ethnicity, nationality, languages, accents, skills, documentation and travel preferences, licenses, willingness preferences, unions, representation details, credits, training, awards, photos, reels, profile visibility, completeness score, and contact details such as email and phone.

If you are a creator user, we collect the organization profile information you provide, such as organization name, organization type, biography, city, state, country, website, social links, logo, public business contact email and phone, and publication status.

We also collect operational information, including session cookies, IP address, user agent, device/browser information, request timestamps, rate-limit records, upload metadata, and contact reveal audit logs.

3. How we use information

We use information to create and manage accounts, authenticate users, publish and display profiles, support search and browsing, process contact reveals, show talent who revealed their contact, enforce daily reveal limits, prevent misuse, secure the service, troubleshoot bugs, respond to support requests, send service emails, comply with law, and improve SpotActor.

4. Profile visibility and contact reveals

Public talent profiles can be viewed by visitors and by creator users, but talent date of birth and talent contact details are not shown in public profile responses. Talent contact details are shown only to the talent account owner and to eligible creator users who reveal that talent's contact through SpotActor.

When a creator reveals talent contact details, we create an audit record with the creator, talent, time of reveal, creator profile snapshot, IP address, and user agent. Talent users may see that a creator revealed their contact, together with basic creator details. Creator business contact details may be shared with talent in that context.

Once users exchange contact information, communications and dealings outside SpotActor are between those users. SpotActor does not control, monitor, or take responsibility for off-platform interactions, auditions, meetings, negotiations, contracts, payments, travel, safety arrangements, disputes, or outcomes.

5. Cookies and authentication

We use cookies and similar technologies needed for authentication, session management, security, and basic service operation. We do not use third-party advertising cookies in the current version of SpotActor.

6. Service providers

We use trusted service providers to operate SpotActor, including database hosting, file storage, website hosting, authentication, email delivery, logging, security, and analytics or diagnostics if enabled. These providers process information for us so we can run the service.

7. Legal bases and consent

Depending on your location, we process personal information based on your consent, our need to provide the service you request, our legitimate interests in operating and securing SpotActor, and our need to comply with legal obligations. You can withdraw consent or ask us to stop certain processing where applicable, but some processing may be required to keep your account or profile active.

8. Retention

We keep account and profile information while your account is active or as needed to provide the service. We may retain reveal audit records, security logs, support records, and backup copies for a reasonable period where needed for safety, fraud prevention, legal compliance, dispute handling, and legitimate business records.

9. Your choices and rights

You can update much of your profile information from your account. Depending on applicable law, you may have rights to request access, correction, deletion, portability, restriction, objection, withdrawal of consent, or information about how your data is processed. We may need to verify your identity before responding.

10. Security

We use administrative, technical, and organizational safeguards intended to protect personal information. No internet service can be guaranteed to be fully secure, so you should use care when publishing profile information or communicating with other users.

11. International use

SpotActor may be accessed from different countries, and our service providers may process information in countries other than where you live. Where required, we rely on appropriate legal mechanisms for cross-border processing and transfers.

12. Children

SpotActor is not intended for people under 18. We do not knowingly collect personal information from minors. If you believe a minor has provided information to us, contact us and we will take appropriate steps.

13. Changes

We may update this Privacy Policy from time to time. Updated versions will be posted on this page with a new last updated date. Your continued use of SpotActor after an update means the updated policy applies.
